Privacy Policy

Evolutioned Pty Ltd ("we," "us," or "our") provides AImbience, an Azure Marketplace Managed Application that customers deploy into their own Azure subscription. This Privacy Policy explains how personal and customer data is handled in connection with that product.

1. Who we are

Evolutioned is the publisher of the AImbience Managed Application offer on Azure Marketplace. For privacy enquiries, contact engage@evolutioned.com.au.

2. What this product processes

AImbience processes data that the customer chooses to ingest and query, typically including:

  • Documents and files uploaded or connected by the customer (for example SharePoint or admin upload)
  • Derived graph content (chunks, entities, claims, communities) stored in the customer’s Neo4j instance
  • Chat / RAG queries and answers generated for authorised users
  • Operational telemetry (logs, metrics, traces) within the customer’s Azure resources when observability is enabled

3. Where data is stored

By design, customer content and derived knowledge graph data remain in the customer’s Azure subscription (Managed Resource Group and related resources). Evolutioned does not require customer content to egress to Evolutioned-operated multi-tenant storage for core product operation.

Credentials and configuration secrets are stored in customer Azure Key Vault / App Configuration resources provisioned by the managed application.

4. How data is used

Data is used solely to provide the AImbience services the customer has deployed, including:

  • Ingestion and knowledge-graph construction
  • Retrieval-augmented answers in Open WebUI / Agent Workspace
  • Operator administration, diagnostics, and security guardrails

We do not sell customer content. Model inference uses the Azure OpenAI / Foundry resources configured for the stamp (publisher-provisioned default models or customer BYO, per offer configuration).

5. Customer rights and control

Customers control their Azure subscription and may:

  • Access, export, or delete ingested content and graph data using product and Azure tooling
  • Revoke Entra identities and application consent
  • Delete the Managed Application to remove the Managed Resource Group resources (subject to Azure deletion behaviour for attached disks and backups)

6. Sub-processors / Microsoft services

The product runs on Microsoft Azure services in the customer’s tenant/subscription (for example Container Apps, Key Vault, App Configuration, Cognitive Services / Azure OpenAI, Monitor). Microsoft’s terms and privacy statements apply to those underlying services.

7. Security

Access is governed by Azure identity (Entra), Managed Application lock/deny assignment posture, and product role groups (admin / engineer / operator / auditor). Customers should follow Azure security best practices for their subscription and identity governance.

8. Australian Privacy Act / GDPR

Where the Australian Privacy Act 1988 (Cth) or GDPR applies to a customer’s use of the product, Evolutioned will cooperate with the customer’s compliance obligations as publisher of the Managed Application offer. The customer remains the controller of content they ingest into their subscription unless a separate written agreement states otherwise.

9. Changes

Material changes to this policy will be reflected at https://aimbience.ai/privacy and, where required, communicated via Partner Center / offer update notes.
